SERVICES

Operations consulting, delivered as working systems.

Holistc assesses where the hours and margin go, integrates the platforms a client already operates, automates the processes that consume them with a person retained on every material decision — and then operates the result. Four services, one accountable team, measured in hours returned each week.

Four services

Assess. Integrate. Automate. Operate.

Each service has a single purpose, a defined deliverable and a timeframe. Clients may begin with the first and conclude at any stage.

01 / Operational assessment

A written account of where the hours go.

We work alongside the people performing the work and document how the business actually operates, including the workarounds. The client receives the constraints ranked by hours and dollars, and a plan that could be handed to any provider.

  • Business and process audit
  • Workflow mapping and redesign
  • Ranked priorities and a written scope
One to two weeks · EOS or HERMES ↗
02 / Systems integration

The existing platforms, operating as one.

CRM, inbox, job management, document storage and accounting each receive a defined role and a governed path between them. Permissions, exceptions and the details that cause integrations to fail are resolved before the build.

  • Integration and data synchronisation
  • Client onboarding and document handling
  • Job tracking and operational dashboards
Delivered under SELENE ↗
03 / Process automation

Quoting, follow-up, onboarding and reporting, handled by the system.

Some tasks require judgement; most require only completion. We build the workflows that complete them, with human approval retained on payments, approvals and client-facing communication.

  • Administrative and repetitive tasks
  • Approval steps and exception handling
  • Monitoring, testing and recovery
SELENE or APOLLO ↗
04 / Managed operations

Built to remain useful after the engagement.

Documentation the client’s team can follow, training, and ongoing monitoring. As the business changes, the system is adjusted with it, and the next constraint is addressed before it becomes a cost.

  • Documentation and hand-over
  • Team training
  • Monitoring, iteration and scale

Industries

Four sectors. One workflow and one result in each.

We concentrate where operations are heavy and margins are narrow.

Inspections, tenant communication and job tracking without manual follow-up.

Rent tracking, routine inspections, maintenance coordination and tenant enquiries operate on one connected system, allowing a lean team to carry a growing portfolio.

  • Rent tracking and arrears follow-up, automated
  • Inspection scheduling and reporting
  • Tenant enquiries triaged; 70% resolved without staff involvement
  • Maintenance tracked from request to invoice

What we build

Systems defined by the business outcome, not by the platform.

The platform is a footnote. These are the five systems we deliver most often, each with a person retained on the decisions that matter.

Job and status tracking +

Every job visible across departments in real time. Status updates and alerts are issued automatically, so no one needs to ask where a matter stands, and no one needs to answer.

Client onboarding +

Forms, documents and approvals collected automatically. Client inputs initiate the internal tasks, and the client is operational without correspondence back and forth.

Administrative and repetitive tasks +

The transcription and re-entry that make staff the connective tissue between systems — removed. Systems exchange information directly so people do not have to relay it.

Document handling +

Files generated, named, converted, filed and issued according to rules the client sets. Everything synchronised without moving files between folders.

Data synchronisation across systems +

CRM, spreadsheets, cloud applications and ERP kept clean and current. No double entry, no mismatches, one source of truth for each field.

Engagement models

Scoped in writing. Priced for precision.

Modular engagements, agreed before work begins. The quoted figure is the invoiced figure. Clients begin with the smallest model that answers their question.

01 · Entry

EOS

Small teams and owner-operators

A tactical starting point. We identify the constraints, clarify the next steps, and provide a tailored action brief that can be implemented immediately — with or without Holistc.

A written brief within two weeks
02 · Roadmap

HERMES

Growing companies

A structured review of workflows, platforms and operational friction, delivered as a systems roadmap ranked by hours and dollars and aligned to the firm’s growth targets.

Roadmap with return projections
04 · Scale

APOLLO

High-volume, multi-site firms

End-to-end custom infrastructure — workflow orchestration, integration across every business unit, team enablement — for organisations in which the system is the operation.

Fixed scope, enterprise standard
05 · Operate

KRONOS

Ongoing refinement and oversight

Monitoring, iteration, maintenance and scale as the business grows, with the next constraint addressed before it becomes a cost.

Monthly engagement

Engagements are composed from a platform fee matched to the organisation’s capacity, with modules added as the operation grows. Fees are confirmed in writing following a scoping conversation — arrange one here ↗.

Advisory partner

When the question is larger than a system, Markham Consulting advises.

Expansion, restructuring, relocation and separation are decided with Markham — Holistc’s advisory partner under common leadership. The operating systems that follow are delivered and run by Holistc, so the decision and the operation share one line of accountability.

Common questions

The questions raised in every first conversation.

We have attempted automation before and it did not hold. Why would this differ? +

In most cases a platform was purchased before the workflow was understood, and no one was accountable for it after launch. Holistc begins with the map rather than the software; every workflow ends with a named owner; and KRONOS exists so the system continues to match the business after hand-over.

Our data is inconsistent. Must it be cleaned first? +

No. Inconsistent data is usually a symptom of the double entry being removed. The first system is scoped around one source of truth for each field, and the clean-up occurs as a by-product of the build rather than as a project before it.

Will we need to change the software we use? +

Rarely. We build within the CRM, inbox, job management and accounting platforms the client already operates. There is nothing to migrate and nothing new for staff to learn.

How much of our time does an engagement require? +

Discovery comprises one to two weeks of short sessions with the people performing the work. Thereafter, a weekly review and a sign-off before anything enters operation. The same team conducts the entire engagement, so context is never re-explained.

Who can access our systems, and how is our data handled? +

Access is scoped per system to the minimum the workflow requires, is granted and revocable by the client, and is logged. Approval points for payments and client-facing communication are agreed in the scope. Client data is used for the engagement and nothing else. Confidentiality is a principle of the firm, not a line in a policy.

What happens after delivery? +

The client receives documentation their team can follow and training to operate the system. From there, KRONOS provides monitoring, iteration and scale on a monthly basis — or the client operates it independently. In either case, what was built is documented so that changing a rule does not require a developer on retainer.

Our problem is a decision — a move, a merger, a restructure — not a workflow. Is that Holistc? +

That is Markham Consulting, Holistc’s advisory partner. Markham advises on expansion, restructuring, relocation and separation; Holistc designs, builds and operates the systems that follow. Both firms share leadership, so an engagement can begin with the decision and continue into the operation without a hand-off.

What does it cost? +

Engagements are modular and scoped before work begins; the quoted figure is the invoiced figure. The accurate answer for a given organisation follows a scoping conversation, in writing. Most first systems are in operation within four to eight weeks.
